How To: Get Started with Email Templates

Hi, all - a common question we get from new admins is how to access and get started with Email Templates. This is a two-part process that can help your organization email messages to specific communities in an efficient and consistent manner, while empowering community admins to communicate with community members as they grow its use and membership. So let's dig in!

Part One: Build Your Template

The first place you need to go will be to Admin > Communities > Email Templates:

Once you're in that section, you can sort by Community Messages, here:

You can edit any of the existing boilerplate templates (and we have a lot!) by clicking on the blue Edit buttons and customizing the language of the email template to your needs. In this case, we're going to create a new template by clicking the green Add a Template button on this screen. By doing so, it will give you a blank template, like this:

Fill in all your desired information. Please note that for Community Messages, you must assign the template a community to get it to appear for that community's list of available templates. You can customize the text, look and feel in the HTML section to your organization's branding and messaging. For the text section, it's recommended that you copy the text and clear out any formatting related to HTML images and paste it into the text section. Once that's done, click the blue Finish button at the bottom of the Email Template form. And you have your template all ready to email your community members!

Part Two: Email Your Community Members

On the front end of your community site, navigate to the community you created the template for, and go to Settings > Email Community Members:

Select the Email Template you'd like to use from the dropdown:

Click the blue Next button. If you toggled the Edit before Sending to ON, it will show you the message before it goes out, so you can make any last-minute changes. If not, it will bring you to this screen:

If you're ready to send, click the Send Messages button, and you'll be all set. Email Template mission accomplished!
